Terms & Conditions


Bookings are accepted as a contract between Exclusive Portugal Villas (EPV) and the person named on the attached Reservation Form (client).

BOOKINGS
- All bookings are made and accepted subject to the terms set out in these conditions. When you make a booking a contract is made and we will confirm the booking as soon as we receive your instructions. When making a booking, it is the Lead Passenger's responsibility to make sure that the property has adequate sleeping accommodation. Each property advertised has a maximum number of guests allowed and any extra guests that Exclusive Portugal Villas were not notified of – or agreed to – may be subject to expulsion from the Property.

PAYMENT –
A payment of a 25% deposit is required to secure the booking. We allow 7 days from a verbal or email confirmation for the deposit to reach us, the balance must be received by us at least 8 weeks before departure date or the booking may be deemed as cancelled and deposit forfeited. If arrival is within 8 weeks then the total cost is payable in full at the time of booking. Payment can be made by either a Bank transfer or cheque.  If you are paying by electronic transfer from a bank outside of the UK or intend to pay by cheque not drawn on a UK bank we will make an additional charge of £12.00 per transfer/cheque.

1.     BREAKAGE / SECURITY DEPOSIT - When we receive your deposit and completed booking form we will issue a receipt confirming this. When you receive the invoice for the outstanding balance, this will also contain an amount representing a security deposit ("the Security Deposit"). This is for £350.00. The Security Deposit must be paid at least 8 weeks before your arrival date. We shall return the Security Deposit to you approximately 2 weeks after your return, subject to clause 3.1 below. The Security Deposit (if sent separately from the balance payment) will be banked approximately 3 weeks before your departure from the UK.
Should you or any member of Your Party or any third party invited by you to the accommodation be responsible for any breakage, loss of or damage to any item, or additional cleaning has been necessary or you fail to lock the accommodation and as a result, criminal damage or theft occurs, we will send you an invoice on your return to the UK. Where the invoice sum is less than the Security Deposit the invoice charge will be deducted from the Security Deposit. Where the invoice sum is greater than the Security Deposit it will be charged in addition to the Security Deposit.

2.     ACCOMMODATION - If upon arrival the Lead Passenger feels that the accommodation is not in a suitably tidy and clean state then the Lead Passenger, and the Lead Passenger only, can request that the Villa General Manager, Gill Draper 00351 912957457 / Jon Morris 00 351912980578 inspect the accommodation in order to determine a satisfactory condition. Clean towels will be provided on arrival and changed half weekly. The pool will be cleaned regularly throughout your stay. Both Casa Bedrock and Casa St. Lucia are non smoking villas. Smoking is permitted outside on the grounds and ash trays are provided.

3.     CANCELLATIONS - If you have to cancel your booking, please confirm this in writing as soon as possible.  Cancellation charges are as follows:
More than three months before starting date the deposit will be fully returned. Between three and two months before starting date the deposit will be returned less 10%. For cancellation less than two months from starting date there will be no refund of deposit. Cancellation Insurance is the guests' personal responsibility and is strongly advised. If you have trip cancellation insurance, you can make a confirmed booking for a rental property while being assured of recovering your payment if unable to travel (please consult insurers for more details).

4.     If EPV needs to cancel your booking we will give a full refund. This will be only happen in extreme unforeseen circumstances. We will endeavour to offer you alternative accommodation, but we are not a travel agent and we can only make suggestions. Please be aware that other villa owners and companies have different terms & conditions. 

5.     INSURANCE/LIABILITY - All clients must have adequate travel & personal accident insurance. We the owners, cannot, under any circumstance, be held responsible by you and your party, for any and all personal injuries, damages to the villa during rental, or theft arising out of or connected in any way to your rental of our property. The renting contact is responsible for any degradation on the property and its contents by own fault or by a member of the group or by one of their guests.


6.     The villa is suitable for small children – but the pool area is not fenced at Casa Bedrock but IS at Casa Lucia and you will be responsible for supervising your children in the pool.

 7.     If a cot, stair gate or high chair is required please advise us at the time of booking. All linen, bath & poolside towels are provided.


8.     Please contact Gill Draper on 00351 912957457 or Jon Morris 351 912980578 for help with any problems or complaints about the property, they will endeavour to rectify any problems as quickly as possible.  We cannot be held responsible for any lack of electricity or water supplies, or any similar facility which is beyond our control. 

9.     Your accommodation is reserved from 4.00 pm on the day of your arrival. On the morning of the day of departure, you are required to vacate the accommodation by 10.00am to allow the maid time to prepare for the next guests. Please let us know if you wish to occupy sooner or vacate later, we will do our best to accommodate you.

10.Exclusive Portugal Villas cannot guarantee that certain TV or satellite channels will be available.

11.  Casa Bedrocks pool heating is charged at £50 per week payable with the final balance. Pool maintenance is included with the rental charge. Casa Bedrock is heated to a minimum temperature of 26o (in line with The Algarve Tourist Board standards) Casa St Lucia does not have a heated pool.

12.  If you choose to use the air conditioning, there will be a charge made of £60.00 per week payable with the final balance. Smaller groups will qualify for a reduction. to be negotiated.  Electricity usage upto 20kw per day is included in rental charge and usage over this amount is charged at 20p per unit & will be deducted from the security deposit. Meter readings will be taken on arrival & departure. A meter reading will be taken on your arrival and your departure.

13. Should any guests who arrive that have not been disclosed on booking form may be charged at £50 per night & we reserve the right to refuse entry if the number of guests who arrive exceed an acceptable number for the accommodation provided.

14. No dogs are allowed.

15.  This contract is made on the terms of these Booking Conditions, which are governed by Portuguese law and both parties shall submit to the jurisdiction of the Portuguese courts






The letting of the properties on this web site are intended solely for short term residential purposes of a special transitory nature – specifically self-catering accommodation- in accordance with article 1095º, nº 3 of the Portuguese Civil Code. In no way does it constitute an offering of tourist lodging within a tourist complex as contemplated in Decree Law nº 167/97, altered and republished in Decree Law 55/2002 of 11/03.
